Data Protection Policy

1. Who we are
Lønkontoret, CVR 42396672, Carlsensvej 4, 4600 Køge, Denmark, provides payroll and employer administration services to companies in Denmark. You can reach us at kontakt@lonkontoret.dk or +45 88 44 24 14.
2. Our two roles
Controller. For personal data about visitors to lonkontoret.dk, people who contact us, and our business contacts, Lønkontoret is the data controller.
Processor. When we run payroll for a client, the client is the data controller for its employees’ data (for example national ID number, salary, bank account, leave, sickness and parental leave), and Lønkontoret acts as data processor under a data processing agreement with that client. If you are an employee of one of our clients, please contact your employer or us directly about your data.
3. What we process and why
When you contact us or book a call, we process your name, company, email, phone number, number of employees and your message, to answer you and prepare an offer (legitimate interest, GDPR Art. 6(1)(f); contract, Art. 6(1)(b), if you become a client). If you consent to analytics cookies, we process pseudonymised usage data to improve the website (consent, Art. 6(1)(a)); you can withdraw consent at any time. For client payroll we process employee data solely on the client’s instructions.
4. Retention
Enquiries that do not lead to a client relationship are deleted within 12 months of last contact. Client data is kept for the duration of the client relationship and afterwards as long as the law requires (for example Danish bookkeeping rules). Payroll data is deleted or returned according to the data processing agreement.
5. Recipients and transfers
We share data only where necessary: with service providers that help us operate the website, email, forms and payroll systems (acting as our processors), and with public authorities where we are legally obliged to. If a provider processes data outside the EU/EEA, we rely on a valid transfer mechanism such as the EU Standard Contractual Clauses. We never sell personal data.
6. Security
We work through established, secured systems, restrict access to those who need it, and avoid sharing personal data over insecure channels. See also our principles in the Danish Dataetisk politik.
7. Your rights
You have the right to access, rectify and erase your data, to restrict or object to processing in certain cases, to data portability, and to withdraw consent at any time. Write to kontakt@lonkontoret.dk and we will respond within 30 days.
You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, datatilsynet.dk. We encourage you to contact us first so that we can try to resolve any issue.
8. Changes
We may update this policy when our processing or the law changes. The current version is always available on this page.
